Warehouse – Internal

The warehouse receives, on average 406 boxes per day. If you have a requisition or purchase order number, we can check our records. Any information you can give us to help identify your order is appreciated.

All orders delivered to the warehouse must be verified and received in eFinance. Most orders delivered to the warehouse will be ready for campus delivery on the next day. (Issues such as missing, incorrect or damaged items may cause a delay.) All purchase orders and warehouse requisitions are delivered to campus twice weekly. Please see Warehouse delivery dayspdf.

The warehouse carries an array of items, from copy paper to custodial inventory to Transportation Smart Tags. For a complete list of items available, Inventory 727Wpdf

Pricing on warehouse items depend on the most current quote/bid. To get the most current price, please see the how to section under “check inventory item price”.

Warehouse orders are processed daily after 2pm. If your warehouse order is entered and approved before that time, it will be ready for delivery on your next scheduled delivery day.

You can check to see if your requisition was approved by following the step by step instructions listed in the how to section under “check status of requisition”.

As stated in the Finance Manual, page 4-17, all orders delivered from the warehouse must be counted/inspected within 5 days.  Please review your POlister to be sure the item in question was included in the shipment. If the line item is circled but there is still an issue – contact the warehouse as soon as possible. We will review our records and make all necessary calls to get the issue resolved.  We will keep in touch with you as we work through the situation.

All orders (purchase orders or requisitions) from 727W are labeled with GREEN marker to
help identify them as such and will be brought to your campus by our warehouse crew.

If an order is shipped directly to your campus that should have gone to the warehouse –
verify the item(s) is correct, receive the item and/or purchase order in eFinance. Please
email the warehouse and Accounts Payable with the purchase order number and vendor
name. This will ensure payment is made and help identify any duplicate orders the
warehouse may receive.

The warehouse will email the campus secretary (or designee) copies of all deliveries on the
truck each day. You should receive copies of all POlisters and Warehouse Reqs for that day. Please contact the warehouse if you are not receiving these.

Exception: Orders originated from the Curriculum Dept. that are to be distributed district
wide will not have paperwork. But you will still receive the JumpTech email. All boxes will
be labeled with a person or department.

This is a delivery confirmation email from our JumpTrack system. This system allows us to instantly see who signed for an order. Please see the “Understanding Your Jumptech email” link for more details.

If an item was not what you expected/as advertised or you have simply changed your mind and you wish to make a return – the first step is to contact the warehouse. Next, contact the vendor and explain the situation, decide who should pay for the return and if there is going to be a replacement or a credit given (if payment has already been made).

If the vendor is paying for the return, simply call your warehouse and have the item/order picked up. We will wait for the call tag and ship it back to the vendor.

If you are paying for the return – simply contact the warehouse with the following information:

Purchase order number, Vendor name and line item(s) being returned. We will also need the physical address of the vendor’s returns department and the budget used to pay for the return.

Our drivers will pick up the box(es) and we will notify AP when the return has been made.

All items shipped through the warehouse must be returned through the warehouse.
